Tone of the meeting: - Relaxed - Focus on the topic - Seek input from everyone - Encourage humour - Check understanding of everyone’s points - Consider all ideas - Keep an appropriate pace

Effective meeting checklist: - Advertised well - Venue and equipment adequate - Quorum achieved - Agenda followed - Time and pacing kept - Everyone participates somewhat equally - All people and ideas respected - Periodic and final summaries by consensus - Minutes are given out - Designated person follows up on all decisions

Before the meeting: Announce - Set time and place - Place notices where needed - Call/e-mail key people Before the meeting: Ideas - Review facilitator mindset - Set agenda - Review effective meeting checklist Before the meeting: Personalities - Review the personalities of the members - Anticipate effective ways to encourage equal sharing from each person - Anticipate ways to diffuse possible conflict - Think about possible lead people for agenda items

Before the meeting: Facility - Be sure facility is set up for facilitation - Check on heat, water, light for participants - Make sure facilities to take notes on paper and electronically are available - Flip chart and pens present Before the meeting: Mindset - Set time for personal prayer - Calm your mind - Thank God for each member

During the meeting: Set the tone - Start on time - Prayer - Welcome - Agenda and times - Choose someone to take notes and write on flip charts During the meeting: Inclusion - Introduce items without slanting - Open the floor - Open-ended questions - Ask specific members for comment - Gently cut off dominators with questions for others. - Ask for feedback regularly

During the meeting: Review - Regularly review and summarize - Ask for consensus of the review During the meeting: Timing - Ensure that set times for each item are followed - Ensure that nobody dominates the time During the meeting: Personalities - Ensure that melancholy members receive the detail they need - Ensure phlegmatic members are asked for participation - Ensure that sanguine members have a part in celebrating the decisions - Ensure that choleric members feel they have had a major part in the decisions

During the meeting: Recording - Slow down to ensure all ideas are written - Verify the minutes are accurately taken down During the meeting: Closure - Be sure the conclusions are by consensus - Assign key people to make sure decisions are implemented

After the meeting: Follow-up - Distribute minutes - Check on progress of each decision - Check with members for “buyers remorse” After the meeting: Personalities - Melancholy: Clarify details for them - Choleric: Give them a part in implementing the ideas - Sanguine: Give them a part in celebrating the ideas - Phlegmatic: Make sure they feel included and needed After the meeting: Advertising - Share important decisions with the church - Call key people to elicit help with promoting the decisions - Talk to members to reinforce the decisions
