Budget Requests – Internal Programming Budget Request – Campus Wide Programming Budget Request

Spring 2016 Timeline ■ Wednesday, February 17 th – First round of Internal Programming Budget Requests Due ■ Thursday, February 18th – Finance Committee Budget Review Meeting ■ February 20th at USG Retreat – Budgets approved at USG meeting Saturday *Clubs will be notified of their allocation within 24 hours of the USG retreat

Information Sessions ■ Additional Q&A Sessions on Budget Process – Thursday February 11 th Noon – 1:00pm Campus Life, ASC 325 – Friday February 12 th 3:00 – 4:00pm Leadership Library, ASC 328

Conference and Competition ■ Form found on USG website under DOCUMENTS ■ Please submit forms a minimum of three weeks in advance of conference or competition. ■ A representative from the group will meet with the Finance Committee to present their proposal ■ The Finance committee makes a recommendation to USG for approval at their general council meeting ■ Following the conference or competition, the club should send photocopies of the receipts and a final budget sheet to the USGVPFINANCE@stthomas.edu. USGVPFINANCE@stthomas.edu ■ Once reviewed, funds will be transferred to the club account.

Conference and Competition ■ Reimbursement for a club cannot exceed $2,000 a semester or $3,000 total for a year. ■ Non exclusive clubs can be reimbursed up to 75% of total costs of the trip up to $250 per member. ■ Exclusive clubs can be reimbursed up to 50% of total cost up to $250 per member.

Beverage Committee (Pepsi Funds) ■ Funds made available as part of contract with Pepsi. ■ Can be used to fund the purchase of durable goods which will last at least three years. ■ Proposal should include storage and usage/check-out plan. Advisors must sign the request. ■ Do not purchase ahead of time – items will be purchased on your behalf. ■ Application is available under the STUDENT RESOURCES tab on the Campus Life website

Lectures Committee ■ Funds are available to host a speaker on campus. ■ The event must be open to the campus community. ■ Funds can only cover the cost of the speaker contract. Lecture planning assistance is available through Campus Life. ■ Lectures Co-Op form is available on the STAR website.

STAR Co-op ■ STAR can help fund events that are open to all St. Thomas students. ■ Cooperative Programming request form is available on the STAR website.
