History can only be recalled accurately if it is written down.

Location and date of the meeting. Who is at the meeting. What were the main issues addressed at the meeting. What decisions were made. Were motions made and approved. Were any action items agreed to.

Draft minutes need to get to meeting attendees as soon as possible after the meeting for review and comment. Revised draft of minutes must be presented at next meeting for approval. Minutes should not be a verbatim record of everything said at a meeting.

Meeting minutes should be able to stand on their own without attachments. Minutes are a history of the Chapter. Minutes are kept on file for the life of the Chapter.

Maintain and protect the Chapter’s Charter. Maintain a current copy of the Chapter’s Constitution and Bylaws, with all changes annotated. Submit revisions to Chapter’s Constitution and Bylaws to NARFE National for approval.

Ensure that every Chapter officer and chair has a current copy of the Chapter’s Constitution and Bylaws. Submit an F-7 Report to NARFE National at least annually and whenever there are changes in officer and chair positions. Attend all meetings or find a substitute.

When a vote is taken by ballot or show of hands, record the results of the vote. Keep a chronological file of the Chapter’s newsletters. * * * * * * * * Remember, without a President and a Secretary, a Chapter cannot exist.
