Seal codes are secure information and must not be provided to students prior to the beginning of Session 2, as indicated in the administration script. 28
29
What’s New Test Group Code Schools must use one unique four-digit test group code for both sessions of each subject test for students in each testing room. For instance, the group of students taking Grade 7 Reading in Mrs. Smith’s computer lab will use the same test group code for Session 1 and Session 2. If students are absent for a test session, a different unique code must be used for each make-up session. 29
30
Reminders Test Administrator Policies ALL test administrators must be certified educators. In addition to signing a security agreement, test administrators are required to sign a Test Administrator Prohibited Activities Agreement. Test administrators must NOT administer the FCAT/FCAT 2.0 to their family members. Students related to their assigned test administrator should be reassigned to an alternate test administrator. Under NO circumstances may a student’s parent/guardian be present in that student’s testing room. 30
31
Reminders Seating Charts Test administrators are required to maintain an accurate seating chart for each group of students in their rooms during testing. All seating charts must indicate the front and back of the room, as well as the direction the students are facing. If the seating configuration changes during testing, a new seating chart must be created. 31
32
Reminders Leaving Campus If a student begins a session and leaves campus without finishing (due to an appointment, illness, etc.), he or she will NOT be allowed to complete that session. No exceptions will be made once the student leaves the school’s campus, so parents/guardians and students must be made aware of this policy. 32
33
Reminders Marking Tests Complete Student tests should only be Marked Complete in one of the following circumstances: A student had to leave the test (e.g., cheating, illness) and will not finish the test. (After being marked complete, school personnel will invalidate the test.) A student finished the test but exited instead of submitting the test and the test should be scored. A student completed Session 1 and never started Session 2. As otherwise directed by FDOE or Pearson after a technical difficulty or other extenuating circumstance. * FOR FCAT 2.0 TESTS, DO NOT MARK TESTS COMPLETE OR STOP THE SESSION IN PEARSONACCESS AFTER DAY 1. 33

78
School Coordinator Before Testing Arrange ePATs Schedule and arrange ePAT practice test sessions as described in the Spring 2013 CBT Manual. Before a student can participate in this computer-based administration, the student must complete the correct ePAT to become familiar with the computer- based system. To access instructions for downloading and installing the ePAT Launcher and practice test content, go to www.FLAssessments.com/ePATs. The technology coordinator will need to download and install the software.www.FLAssessments.com/ePATs Students who require accommodated CBT forms (e.g., large print, color contrast, zoom, screen reader, assistive devices) must complete a practice test for the specific accommodated form or form combination that they will use during testing. Accommodated practice forms are available at www.FLAssessments.com/ePATs. www.FLAssessments.com/ePATs 78
79
School Coordinator Before Testing Create Test Sessions Your district may have created test sessions automatically via the PreID upload. If your district created test sessions through the PreID upload, you will see these sessions when you log in to PearsonAccess. If your district did not create test sessions during the PreID upload, you will need to create test sessions before you can verify student information. These can be temporary sessions for the purpose of verifying student information, or they can be test sessions you plan to use for testing. Detailed instructions on how to create a test session and verify student information are on pages 128-130 of the CBT manual. 79
80
School Coordinator Before Testing Computer-Based Assessment Certification The Computer-Based Assessments Certification process must be completed and submitted as directed by the FDOE. Schools are responsible for providing information about the number and types of computers to be used for computer- based testing and the number of students to be tested on each day of the administration window. Schools must also respond to questions about whether readiness activities have been completed. 80
81
School Coordinator During Testing Supervise Test Administration Ensure the test sessions have been started in PearsonAccess. Provide test administrators with additional materials during testing, as necessary. Monitor each testing room to ensure that test administration and test security policies and procedures are followed. Be available during testing to answer questions from test administrators. Make sure that security logs, seating charts, and records of required administration information are being maintained in each testing room. In PearsonAccess, monitor session status and resume students’ tests, if necessary. Arrange for and supervise make-up administrations. 81
82
School Coordinator After Testing Verify that all distributed secure materials have been returned. Report any missing materials to your district assessment coordinator and conduct the necessary investigation. In PearsonAccess, stop test sessions and invalidate student tests, if necessary. In PearsonAccess, record accommodations actually used by students. Organize materials and return them to your district assessment coordinator (refer to the Spring 2013 RMS Manual for return instructions). Store any handheld four-function calculators as directed by the district assessment coordinator. Store Student Authorization Tickets and Session Rosters until results are reported for this administration and then destroy them as directed by the district assessment coordinator. File the FCAT/FCAT 2.0 CBT Administration and Security Agreements and the Test Administrator Prohibited Activities Agreements. 82
83
School Coordinator After Testing Copy the seating charts, required administration information, Chain of Custody forms, and Security Logs, file the copies, and return the originals in the District Assessment Coordinator ONLY boxes. Return used and unused work folders and CBT Worksheets in the District Assessment Coordinator ONLY boxes. Reference sheets should be securely stored or returned in the District Assessment Coordinator ONLY boxes, as indicated by the district assessment coordinator. Reading Passage Booklets are secure documents and must be packaged with NOT TO BE SCORED materials using the yellow return labels. 83
84
Technology Coordinator Before Testing Read the test administration manual. Read the Test Administration Policies and Procedures and sign the FCAT/FCAT 2.0 CBT Administration and Security Agreement. Ensure all workstations meet the minimum requirements at www.FLAssessments.com/MinimumSpecs. www.FLAssessments.com/MinimumSpecs Confirm TestNav 6.9 software has been installed on all computers to be used for testing. Install TestHear 2.1.0.7 on all computers to be used for testing students requiring accommodated CBT forms. Ensure all student workstations have successfully loaded the Infrastructure Trial. Meet with the school assessment coordinator to discuss the administration of computer-based test, to walk through the test administration procedures, and discuss plans for handling possible technical interruptions during testing. 84
85
Technology Coordinator Before Testing Run the TestNav System Check to determine the amount of bandwidth needed for testing. Evaluate the testing locations in the school to ensure availability of sufficient electrical outlets and network jacks. Ensure you are aware of the applications that must be disabled prior to testing. Confirm that the computers used for test administration have the appropriate required version of a standard Internet browser based on the operating system in use on the computer and the pop-up blocker is disabled (see Appendix C). Ensure the school has a high-speed connection to the Internet AND the connection is not over-allocated. If a firewall is used, confirm the appropriate destination/port/protocol combinations are allowed through the firewall. 85
86
Technology Coordinator Before Testing Ensure that any proxy servers have been checked to ensure that the appropriate URLs are not blocked. Confirm that Internet content filters are configured to allow the specific IP addresses required for administering computer-based tests. Ensure Proctor Caching computers have been set up properly. Ensure a printer is available for printing the Student Authorization Tickets, seal codes, and Session Rosters (color is not required). Analyze the network to determine whether network bottlenecks exist. Confirm that student computers and the Proctor Caching computer have not been updated with any additional software and will not be updated before testing begins. Confirm that test content has been cached for all scheduled test sessions. Test content is available for caching one week prior to the test administration window. 86
87
Technology Coordinator Before Testing Verify that the performance of your Internet connection is consistent with expected levels of performance for computer-based testing. Alert your Internet Service Provider to your computer-based testing dates, and also confirm that no scheduled maintenance or outages are planned during the entire window. Verify, as needed, that no high bandwidth network activity other than computer-based testing will be occurring during the computer-based testing window. If utilizing wireless network connections for computer-based testing, ensure that all computers can effectively communicate with their access point from the testing location and all security measures have been properly enabled. Ensure that laptops are connected to AC power. If batteries must be used, ensure that they are fully charged and have the capacity to last for the entire test session. 87
88
Technology Coordinator Before Testing Ensure that each computer station is equipped with a keyboard and mouse (or other pointing device). Disable instant messaging, email notification, screen savers, power savers, and remote desktop. Disable or delay anti-virus, auto-scan and/or auto-update, system restore utilities, Windows Security Firewall, web content filtering, or other software that may impact CPU speed or scan/block information transferred between the workstation and the servers. Alert your school to the dates and times for computer-based testing and require students and teachers not testing to refrain from using any streaming media or other high-bandwidth applications while students are testing. 88
89
Technology Coordinator Before Testing Ensure student workstations and the user profiles and logins being used for testing allow full permissions (read-/write-/modify-) to the TestNav/Temp, TestNav/Logs, and gh/TestHearPearson/Data directories. Ensure that the primary and secondary save locations are set for student response files and that students have read-/write-access to these locations. Ensure that test administrators are familiar with how to access TestNav and TestHear software from student workstations and how to access the student comment forms. The student comment form is available at: www.FLAssessments.com/SpringCBTStudentCommentForm. www.FLAssessments.com/SpringCBTStudentCommentForm On each day of testing, confirm that the Proctor Caching computer and Proctor Caching software are turned on and remain running. 89
90
Technology Coordinator Before Testing 90 Monitor Display and Shading To ensure students will see all of the content in the test, students are asked to confirm that they can see 15% shading on the Test Group Code screen when they first log in to the test. If students cannot see the shading, they must exit the test and their monitor settings must be adjusted. General instructions for adjusting monitor settings are provided on pages 41–42 of the Spring 2013 Technology Coordinator Guide. The steps for changing contrast and brightness settings will vary depending on the manufacturer and model of each individual monitor.
91
Technology Coordinator Before Testing Proctor Caching Instructions for installing the Proctor Caching software are provided in the Spring 2013 Technology Coordinator Guide. Computers used for Proctor Caching do not need to be server- class machines but should meet the system requirements. Proctor Caching can run on either a Windows or Mac operating system, and each can support both Windows and Mac-based testing workstations. Each testing computer must be configured to refer to a Proctor Caching computer in order to obtain test content. If more than one computer is being used for Proctor Caching, be sure to specify the IP address of the correct Proctor Caching computer during the TestNav installation process. For example: if there are 80 computers that may be used for testing and two Proctor Caching computers, 40 of the testing computers may be configured to link to Proctor Caching computer A, and the remaining 40 may link to Proctor Caching computer B. 91
92
Technology Coordinator Before Testing Proctor Caching Security Proctor Caching software stores a copy of the test content on the local hard drive of the machine on which it runs. Test content transmitted and stored by the Proctor Caching computer is in encrypted format. At no time does the Proctor Caching computer un-encrypt the test items. “Purge cache” function deletes all encrypted test content from the hard drive of the Proctor Caching computer. FDOE and Pearson require that test content be purged at the end of each administration window. Proctor Caching Computer Placement Proctor caching can be implemented at either the lab- or the school-level. Computer should be located as close as possible on the network to the student workstations. 92
93
Technology Coordinator Before Testing TestNav Installation instructions are provided in the Spring 2013 Technology Coordinator Guide. Once TestNav has been properly installed and tested, it should continue to be successful on student workstations through the test administration, as long as no incompatible software updates are made. File Share vs. Local Install Two options for installing TestNav File Share Local Install 93
94
Technology Coordinator Before Testing ProsCons File Share + Single point of installation and configuration changes + Easier to implement in a large-scale testing environment + Centralized single location for log files - Adds a single point of potential failure Local+ Quicker launch time + Limits points potential of failure - Increases installation time (Note: System automation tools, such as SMS [Windows] and Apple Remote Desktop [Mac] can make local installs much easier) - Requires that configuration changes be made on each machine 94
95
Technology Coordinator Before Testing TestHear ePATs Students are required to participate in a practice test using the ePAT with the same accommodations that will be provided to them on the operational assessment. The accommodated ePATs must be downloaded and installed on the computer workstation that will be used for the practice test. TestHear ePATs will only operate on Windows PC workstations and on Macintosh workstations that have Mac OS 10.5 or later installed and are running Windows (e.g., via Boot Camp). TestHear ePATs will not work on Mac OS 10.4 or on Macs that cannot also run Windows. Instructions for installing and running TestHear ePATs are provided in the Spring 2013 Technology Coordinator Guide. 95
96
Technology Coordinator Before Testing TestHear TestHear must be installed locally on all computers that will be used by students requiring accommodated CBT forms (e.g., large print, zoom, screen reader, color contrast, assistive devices). Instructions for downloading and installing TestHear are provided in the Spring 2013 Technology Coordinator Guide. TestHear will only operate on Windows PC workstations and on Macintosh workstations that have Mac OS 10.5 or later installed and are running Windows (e.g., via Boot Camp). TestHear will not work on Mac OS 10.4 or on Macs that cannot also run Windows. TestHear accommodated Reading forms are larger than non-accommodated TestNav forms. To help determine bandwidth requirements and to provide an opportunity to practice loading TestHear forms, accommodated test data has been added to the Testing Volume Calculator in the TestNav System Check (www.FLAssessments.com/SystemCheck) and to the Infrastructure Trial in the Training Center.www.FLAssessments.com/SystemCheck TestHear does not automatically resize the screen resolution so monitors should be adjusted to 1024 x 768 prior to testing. 96
97
Technology Coordinator During Testing Ensure Proctor Caching software is running on all Proctor Caching computers. Turn on Proctor Caching software −Windows: go to Start>All Programs>Proctor Caching>Proctor Caching −Mac: once Proctor Caching is initiated it will not have to be restarted unless it has been manually stopped Adjust monitors that are not correctly displaying test items with shading. Monitor each testing room to ensure that there are no technical issues. Be available during testing to answer questions from test administrators. 97
98
Technology Coordinator After Testing Purge test content from the Proctor Caching computer(s). Instructions for purging test content from the Proctor Caching computers can be found on pages 49-50 in the Spring 2013 Technology Coordinators Guide. 98
99
Comment Forms After testing, test administrators, school assessment coordinators, technology coordinators, and district assessment coordinators are encouraged to complete an RMS comment form located at www.FLAssessments.com/SpringRMS. www.FLAssessments.com/SpringRMS For test administrators and school assessment coordinators, there are comment forms for CBT and paper- based administrations. FDOE and Pearson appreciate feedback from district and school personnel. 99
