Microsoft PowerPoint 2010 Lesson 3: Format a Presentation for Printing

Learning Goals The goal of this lesson is for students to prepare a presentation for printing. The student will create a header and footer, modify the page setup and determine the appropriate print style for the presentation.

Learning Objectives On completion of this lesson, students will be able to do the following: – Open an existing presentation – Add a header and footer – Preview a presentation – Change the page setup – Choose a printer – Print slides, audience handouts, and speaker notes

Open an Existing Publication Open an existing publication by choosing the Open option under the File Tab. OR By double-clicking on the presentation file icon located in your storage device. OR By using the keyboard shortcut CTRL + O inside of the PowerPoint program window.

Adding a Header and a Footer Headers and footers can allow the user to include vital information on the printed presentation. Insert Header & Footer Placement of the header and footer is controlled by the Slide Master.

Previewing a Presentation Allows the user to proofread the presentation prior to printing or presenting. Previewing will also allow the user to preview notes pages, handouts and speaker notes. Preview a presentation by using the Print command under the File tab.

Changing the Page Setup There are various page size options in PowerPoint. Change the page setup using the Page Setup group on the Design Ribbon.

Printing a Presentation Presentations can be printed as slides, speaker notes, handout, or an outline. You can right click on a file and choose “Print” to print slides.

Printing a Presentation, cont. Handouts from a presentation can be printed in a variety of slides per page. Print with multiple slides per page to conserve ink. Remember! The Print dialog box contains a Preview button so that you can preview the presentation prior to printing.

Printing a Presentation, cont. Printer – Select the printer you want to use. Print range – Select which slides to print. Print what – Select from outline, notes page, or 1,2,3,4,6, or 9 slides on a page (handouts).

Printing a Presentation, cont. Frame slides – Puts a thin border around your slides. Scale to Fit Paper - Determines what size PowerPoint prints the slide on the chosen paper. Print Comments and Ink Markup - If you’ve added comments to your slides, you can print the comments on separate pages by choosing this option.
